Wings Adventures Terms and Conditions

1. Booking & Confirmation

  • Your booking is confirmed once WingsItaly (trading as Wings Europe) issues a formal Booking Confirmation.
  • The lead passenger (who must be aged 18 or over) is responsible for all communications with the Company and for ensuring that all group members are informed of the booking details.
  • It is your responsibility to carefully check all information on the confirmation documents and notify the Company immediately of any discrepancies or errors.

2. Travel Insurance

  • Comprehensive travel insurance is mandatory for all travellers, including cover for Covid-19-related incidents.
  • Your insurance must include, but is not limited to, cover for medical expenses, cancellation, curtailment, repatriation, and personal liability.
  • You are required to carry proof of insurance while travelling and ensure the policy covers all planned activities, destinations, and any pre-existing health conditions.

3. Payments

  • Non-Refundable Deposit: A 20% non-refundable deposit is required at the time of booking.
  • Final Balance: The final balance must be paid in full no later than 70 days prior to the date of departure.
  • Some components of your booking (e.g., national park fees, permits, or peak-period accommodation) may require immediate full payment and are strictly non-refundable.

4. Cancellations by You

If you cancel your booking:

  • At any time: the deposit is non-refundable.
  • Between 69 and 28 days before arrival: 60% of the total booking cost will be charged.
  • Within 27 days of arrival: 100% of the total booking cost will be charged.

All cancellations must be submitted in writing or via email by the lead passenger on the booking.

5. Cancellations by WingsItaly

WingsItaly reserves the right to cancel your booking in the following circumstances:

  • Minimum group numbers are not met.
  • Failure to pay the balance on time.
  • Unavoidable and extraordinary circumstances, including but not limited to natural disasters, terrorism, or travel restrictions based on FCDO advice.

In the event of cancellation by WingsItaly, you will be offered either:

  • A full refund, or
  • An alternative holiday (with any difference in cost refunded if the alternative is of lower value).

6. Changes by You

  • You may request changes to your booking after confirmation.
  • An administrative fee of £25 will apply, in addition to any costs charged by suppliers.
  • Some changes (e.g., non-refundable flights or activities) may incur charges of up to 100% of the booking value.

7. Changes by WingsItaly

  • Prices may change due to fluctuations in fuel costs, taxes, or exchange rates. No changes will be made within 30 days of departure.
  • If your total holiday price increases by 8% or more, you are entitled to cancel the booking and receive a full refund.
  • Minor changes, such as flight time adjustments under 12 hours or equivalent hotel upgrades, will not qualify for a refund.
  • In the case of major changes, you may accept the new arrangements, choose an alternative holiday, or request a full refund.

8. Your Responsibilities

  • You must be in good physical health and medically fit to participate in the holiday.
  • You must notify us at the time of booking of any medical conditions, allergies, dietary restrictions, or reduced mobility.
  • We do not accept bookings for travellers under the age of 18.

9. Liability

  • WingsItaly is liable for ensuring that your holiday is delivered as agreed, except where failure is:
    • Caused by your own actions or negligence;
    • Attributable to a third party not connected with your holiday; or
    • Due to force majeure or other unavoidable events.
  • Compensation, where applicable, is limited to a maximum of three times the cost of your holiday, except in cases involving death or personal injury.
  • Our liability is also limited by applicable international conventions (e.g., Montreal, Athens).

10. Adventure Travel Disclaimer

  • Our adventures may involve travel to remote or less-developed regions and may include changes to schedule, variable standards of accommodation, or physical challenges.
  • While we may offer partial (pro-rata) refunds for unused services, this is not guaranteed.

11. Complaints

  • Any issues should be reported immediately to your tour leader or local representative so that prompt action can be taken.
  • If your complaint remains unresolved, please emailDymondclaire@yahoo.com as soon as possible.
  • All complaints must be submitted in writing within 10 days of your return.

12. Additional Assistance

  • Should you encounter difficulty during your holiday and request our support, we will provide appropriate assistance, including information on local medical services, authorities, consulates, and alternative arrangements.
  • If the issue arises due to your own actions, you will be liable for any associated costs incurred by us.

13. Passport, Visa, Health, Travel, and Immigration Requirements

  • You are solely responsible for ensuring that your passport, visas, and immigration documents are valid and in order.
  • For some trips, we may require your passport details in advance. If you renew your passport after booking, you may need to bring your previous passport to validate permits.
  • You must consult a GP or travel health clinic for up-to-date medical advice at least two months prior to travel, and again within 14 days of departure.
  • WingsItaly is not liable for costs arising from your failure to meet health or immigration requirements.
  • You must also review and follow travel advice issued by the UK Government at:
  • Laws and customs in your destination country may differ significantly from those in the UK. You are responsible for understanding and respecting these, particularly in conservative or religious regions.

14. Conduct

  • We reserve the right to decline or cancel your booking at any time if, in our reasonable judgment or that of any person in authority, your behaviour:
    • Is disruptive, abusive, threatening, or dangerous;
    • Causes distress or inconvenience to others;
    • Is deemed inappropriate by local authorities or the tour leader.
  • You must follow all instructions from your tour leader, who represents the Company during the trip. Failure to comply may result in your removal from activities or termination of your holiday without refund.
  • Should your behaviour lead to damage, additional charges (e.g., for cleaning, repairs, or legal action) may be levied, and criminal charges may follow.
  • This clause applies to all members of your travel party.

15. Data Protection

  • We process your personal data in accordance with UK data protection laws.
  • Your information is shared only with suppliers where necessary to deliver services such as accommodation, transport, or permits.
  • We do not sell or share your data for marketing purposes without consent.

16. Excursions

  • Excursions or activities you book while on holiday are not part of your contract with WingsItaly.
  • Any such excursions are independent arrangements made between you and the local provider. WingsItaly is not liable for their performance, safety, or quality.

17. Law and Jurisdiction

  • This contract is governed by English law.
  • Any legal disputes arising from this agreement will be subject to the exclusive jurisdiction of the English courts.
